Privacy, HIPAA & Case File Security
Information We May Receive
All-on-X Direct may receive information that you voluntarily submit when you contact our team, request a case review, schedule a consultation, ask a question, or submit digital case records. This information may include your name, clinic or practice name, email address, phone number, professional role, location, service request, appointment details, case questions, clinical notes, timeline needs, and communication preferences.
For case-related workflows, dental professionals may also submit digital case records such as intraoral scans, CBCT or DICOM data, STL or PLY files, photos, bite records, implant details, restorative notes, appliance notes, design instructions, material preferences, and supporting documentation. The exact information submitted may vary depending on whether the case involves digital implant planning, surgical guides, full-arch restorations, 3D dental design, night guard fabrication, or general lab support.
How We Use Information
We may use submitted information to respond to inquiries, review case needs, coordinate lab workflows, communicate with dental professionals, support digital planning or design, process case-related requests, and provide dental lab services requested by your practice. Case-related information is intended to be used only for appropriate dental lab, planning, design, fabrication, communication, administrative, quality review, billing-related, or service coordination purposes.
All-on-X Direct aims to collect and use only the information reasonably needed to respond to requests, review cases, support lab workflows, and communicate with dental professionals. We do not intend to use case-related information for unrelated purposes without appropriate permission or legal basis.
HIPAA and Dental Lab Communication
Dental lab communication may involve case-related information shared by dentists, oral surgeons, periodontists, prosthodontists, dental practices, or clinical teams for treatment, planning, design, fabrication, or lab support. All-on-X Direct aims to handle this information in a professional and case-focused manner.
Under HIPAA guidance, disclosures between health care providers for treatment-related purposes may be permitted without a separate business associate agreement. Dental laboratories are generally treated as health care providers when receiving information from dentists for patient treatment or lab services. However, each dental practice remains responsible for its own HIPAA compliance decisions, internal policies, patient notices, patient authorization practices, data security procedures, and legal obligations.
Dental practices should share only the information reasonably needed for the requested case review, lab service, planning workflow, fabrication process, or communication. If you are unsure what information may be submitted, please consult your own legal or compliance advisor before sending case records.
Case File and Upload Portal Security
All-on-X Direct uses upload-related workflows and case communication processes intended to support secure, organized handling of digital case records. Whenever possible, case files should be submitted through the designated upload portal rather than through unsecured or informal communication channels.
Digital prescriptions, case notes, scans, photos, CBCT or DICOM data, STL or PLY files, and supporting files should remain tied to the specific case workflow whenever possible. Keeping files, notes, clarifications, and updates connected to the case helps reduce confusion and supports accurate practice-to-lab communication.
Access to case-related information should be limited to team members or authorized parties who need it for case review, planning, design, fabrication, communication, delivery coordination, or service support. We aim to handle digital records, photos, scans, and supporting files with care and to avoid unnecessary access, sharing, retention, or use outside the case-related workflow.
For security and organization, please avoid sending sensitive case files through informal channels unless specifically instructed by our team.
Data Retention and Responsible Handling
All-on-X Direct aims to retain case-related information only as reasonably needed for service delivery, case communication, lab workflow management, recordkeeping, quality review, billing-related communication, legal obligations, or legitimate business purposes. When information is no longer reasonably needed, it should be handled, archived, or disposed of in a responsible manner according to applicable policies and requirements.
Questions About Privacy or Case Files
If you have questions about privacy, case file handling, upload workflows, or how to submit information securely, please contact All-on-X Direct before sending sensitive case records. Our team can help clarify the appropriate next step for your case submission or communication needs.
